Systems Analysis involves investigation, planning and documentation and is made up of several steps:
The first step is to obtain a better understanding of how your business works and where your system needs optimization. Procuring source documents (i.e. invoices, ledgers, inventory lists, etc.) and performing interviews with key personnel are two primary sources of such information. This process can take from days to months depending on your business needs.
The second step is to create flowcharts and tables
from the Systems Analysis outlining how the system currently operates. These documents provide a common point of reference between the Systems Analyst and the client and allow them to agree on the current data flow. No two businesses operate exactly alike and you might be surprised how little top management knows about lower systems operations
The third step is to design the new system. The Systems Analyst reviews the flowcharts, tables, source documents and interview notes and begins preparing the modification proposal. New flowcharts and tables are created and upgrade plans are made along with all other supporting documentation.
The entire process of Systems Analysis revolves around communication with management. Several management review meetings
(with flowcharts) are essential to project completion and to maintain the project focus.
