We have seen the “Fax server solutions technology”
advance steadily in the past few years.
It is no longer the cumbersome Windows 98 machine
with a 56K modem and Win-Fax Pro installed.
Feature Benefits of the Integrated Fax Server Solution
1. Send faxes from any desktop application
2. Receive faxes directly into your email software.
3. Have individual fax numbers for each user.
4. Send & receive 1 to 1400 faxes per hour.
5. Integrate with (Word, Excel, Access, Outlook, Act,
Goldmine, Jetfile, etc) to easily target (broadcast fax) 1
to 10,000 current or potential clients.
Let’s
define a truly Integrated Fax Server Solution.
- We
start with a Client-Server based relationship.
Generally this environment consists of servers,
shared printers and workstations.
The operating systems on the servers are usually
Microsoft NT Server, Microsoft Server 2000 or Microsoft
Server 2003 or a mix of all three.
The operating systems on the workstation may
include Win 98, Windows ME, NT 4.0 Workstation, Windows
2000 Professional or Windows XP.
- Next,
we install a new multi-port digital fax server card in a
new or existing server.
The digital fax server card connects to a full or
fractional voice T1.
This allows you to purchase DID’s (individual
phone numbers) from your T1 vendor.
You may now assign a DID to users so they can
receive individual incoming faxes.
- Now
we install Fax Server Application Software to the Fax
Server that contains the digital fax server card.
This controls the flow and assignment of inbound
& outbound faxes. Review

- The
digital fax server can now be configured to connect to
your Microsoft Exchange Server or SMTP Mail Gateway.
When the inbound faxes come in they are attached
to a specific DID that you assigned earlier to your Fax
Server users. The
fax server reads the DID and then sends the fax to its
appropriate Email box.
Your users are able to collect faxes from email
application software like Microsoft Outlook.
If the Microsoft Exchange Server with Outlook Web
Access is employed, you have the power to receive email
and faxes from anywhere in the world that has Internet
access.
- The
Final step is to install the Fax Server Client
Application on each of the computer workstations to
allow you to send faxes from any software application
(Word, Excel, Access, Outlook, Jetfile, Act, Goldmine,
Etc.).
Now
the question is how this solution fits into your office.
Let’s review the different size office and how we
can tailor this to your office.
Small Office (2 -15 users) Moen & Associates is a cost-effective solution
provider and is able to service all of your faxing and/or
Terminal Server needs. Moen
and Associates owns, operates and maintains a complete
redundant Server Farm so you are not required that costly
initial investment in infrastructure.
Small to Medium Office (15 to 50 users)
This size of office may operate several servers and many
workstations. The
current PBX may employ 8 to 12 analog lines with monthly
phone costs that may run $350 to $700 per month.
For most clients with our special relationship T1 vendors we
may be able to procure you a voice T1 (24 phone lines)
with 100 DID’s for about $299.00 per month.
This really depends a lot on your office location.
You can then split the T1 in half (12 analog lines
for your PBX and up to 12 lines for your digital fax
server). This
allows 12 analog lines for your PBX and 12 Digital Lines for
your Fax Server. You
may find your current phones expenses cut in half by using
this solution.

Satellite Offices – If you have small satellite or home offices that are within 100 miles
of your main office they may be able to employ the fax
server and other office assets.
Medium to Large Office (50 to 100 users) This
size of office generally operate many servers (File Servers,
SQL Servers, Exchange Servers, Terminal Servers, Etc) and
workstations. You
current PBX may employ a single voice T1 or multiple
voiceT1’s. We
can still procure you a voice T1 with 100 DID’s for about
$299.00 per month if this is required.
Your fax server card can come in 4, 8, 12, 16 or 24
channels. Depending
on your current ownership assets you may need to purchase a
(Voice T1, Server, Fax Server Card, Fax Server Application
Software) to complete the Integrated Fax Server Solution.
